Should Law Firms Use Chatbots or Live Chat for Intake?

By Steve Fretzin & Ted DeBettencourt

When I sat down with Ted DeBettencourt, co-founder of Juvo Leads, the conversation hit a nerve that a lot of law firms need to hear. Most firms spend serious money driving traffic to their website, then quietly lose leads because they make it hard for people to connect, and even harder for the firm to respond quickly. Ted’s point was simple, prospects have legal needs, but they also have emotional needs, they want to feel heard, and they want to know someone is actually there.

If You Make It Hard to Contact You, You Are Choosing to Lose Leads

Ted broke down the basics that too many firms still miss. Your phone number has to be prominent and clickable on mobile, and your firm has to answer when someone calls. If the call goes to voicemail, you just trained the prospect to keep shopping, and they will.

Then there’s the reality of how people prefer to communicate now. Chat is no longer a “nice to have.” Text is quickly becoming a deal-breaker, especially in consumer practice areas. If someone can’t reach you in the way they want, they will reach someone else.

Chatbots Don’t Meet the Emotional Need, Humans Do

Ted’s big differentiator is human-staffed chat. He has heard the “AI will replace you” prediction for years, and his response is results, Juvo Leads keeps growing because people want a human connection when the issue feels personal, urgent, or stressful.

He shared a story that made the point perfectly. He filled out a form on an electrician’s website and got the classic “we’ll be in touch soon.” Nobody ever followed up. So he immediately contacted three other electricians until he reached a real person. That is exactly what legal prospects do, except the stakes are often much higher.

Bold quote: “People have to feel like they’re heard and they’re cared about, or they’re going to go somewhere else.”

The Real Money Is Not SEO, It’s Intake Speed and Follow-Through

This is where Ted got sharp, and where most firms leave money on the table. Even if your marketing is working, your intake can still kill your growth. If a qualified lead comes in and the firm responds 48 hours later, it is usually over. The “open frontier,” as Ted framed it, is getting from lead to signed retainer quickly and cleanly.

He also gave a practical screening example that saves lawyers time. For practice areas with heavy volume and low conversion, like employment, medical malpractice, and immigration, you cannot have the lawyer doing all the filtering. A smart intake flow screens for bright-line disqualifiers, or in fee-based practices, it sets pricing expectations early. That protects the lawyer’s time, and it keeps the pipeline from clogging with non-cases.

Closing Thoughts

Most firms do not have a traffic problem, they have a conversion and responsiveness problem. If your website is not built to help people contact you instantly, by phone, chat, form, or text, you are paying to lose leads. If your intake process does not follow up fast, you are doing the same thing. Ted’s message is a good reminder, the best marketing in the world cannot save a firm that is slow to respond, hard to reach, or overly dependent on the lawyer to screen everything.

If you want a practical blueprint for improving conversions without spending another dollar on traffic, this episode is worth your time.
